We don’t use traditional catalogs, we curate our favourite products into lookbooks and presentations just for you. The Fairware Workflow – What to Expect

This is the ‘standard’ workflow at Fairware – although you might jump in further down the stages depending on where you’re at in planning. Each project has a live link to a real-time Project Portal to check the status of the project anytime, from anywhere.

Capabilities Call – This is where we start. A short call or meeting goes a long way in explaining our capabilities and understanding your needs and brand so we can get your merchandise needs right.

Promotional Product Quoting Process

Presentations –Our presentations are interactive, cloud-based, sharable and are meant to give you a sense of what’s possible. They usually have lots of products with ‘ballpark’ pricing to get the conversation going.

Estimates – This is where we start to narrow down your choices based on your product shortlist, branding and budget. This is the time to order samples if needed.

Sales Orders – This is where the details are finalized. Things like your Pantone colour, deadlines and shipping details are nailed. You APPROVE the sales order with the click of a button to trigger the order moving into production.

Promotional Product Production Process

Artwork Specs – This is where we make sure we have your correct art files with all the colours and details noted. Our expert production team can talk you through all the branding options to land on the right one.

Artwork Proofs – We send you a virtual proof that you APPROVE before your product is printed. For higher quantities or higher value orders, we recommend a ‘peace of mind’ pre-production sample is made to make sure you’re getting what you want.

Production – Your product is being made!

Shipping – Once your order ships, we add your tracking number to the Project Portal and alert you.

Invoicing – We invoice when orders ship (or when the order is approved if we need a deposit). Our invoices include a ‘pay now’ button so you can pay online with a credit card.

Promotional Product Order Follow-up

Feedback – You’ll receive a feedback form for your order so you can let us know how we’ve done.

Planning – If you have many events throughout the year, let us know, and we’ll schedule prompts with enough lead time so you won’t forget to order merchandise again.

Promotional Product Timelines & Rush Orders

Our industry’s standard production timeline is 3-4 weeks from sales order approval (this doesn’t include shipping). With this lead time, we account for finalizing art and managing proofs. That’s 10-15 working business days (not including statutory holidays) plus shipping time (3-5 days is standard).

We have supplier partners who can produce branded merchandise in a few days, so we’re able to accommodate rush orders as needed. Rush fees or rush shipping charges are charged as needed for last-minute projects—just connect with your account manager for more details.
